Job Summary

As a Purchasing Administrator, you will be responsible for managing our VPO process and approval, in addition to supporting the purchasing team in creating and administering accurate and timely POs for all regions.  Lastly, you will be responsible for assisting with our fleet management by promoting best practices to drivers, coordinating repairs, and coordinating new vehicle purchases.

Essential Job Functions

  • Manage VPO approval process
    • Audit VPOs daily for errors
    • Identify trends, shortages, and averages
    • Submit VPOs daily to regional managers for approval
    • Reconcile “pending creation” and “pending purchasing” VPOs
    • Build and maintain positive relationships with builders/trade partners/suppliers
  • Manage weekly and biweekly spreadsheets
    • Sink deliveries
    • Regional dumpsters
    • Carrier registration
    • Samsung registration
  • Update Trade/Supplier cards
    • Upload new trade/supplier EFT, W9, Insurance, and Trade Partner Agreement documents.
  • Manage Trade Partner Website
    • Invite and train new trade partners/suppliers
    • Resolve Trade Partner Website support requests
  • Manage monthly statements
    • Reconcile outstanding VPOs and Manual Orders
  • Assist with Fleet updates, repairs, and new vehicle purchases
    • Coordinate repairs with regional team members and shop
    • Coordinate installation and repair of truck wraps
    • Coordinate purchase of new vehicles and new vehicle set up
    • Ensure “floater” fleet vehicles are maintained and cared for
    • Report improper usage of fleet vehicles to Purchasing Manager
  • Fill in for other Team Members as needed
    • Assist other team members filling in with their responsibilities

Required Skills & Qualifications

  • Detailed personality with a servant’s heart
  • Enjoy clerical duties
  • Advanced Computer Skills
  • Experience in Purchasing a plus but not required

Work Environment & Physical Requirements

  • Works in temperature-controlled environment
  • Vision for near, mid-range and far as well as hearing for low, medium, and high pitch
  • Superior communication skills with co-workers, customers, trade partners and vendors.
  • Requires physical ability for standing, sitting, crouching, kneeling, frequent walking, reaching above head and below waist
  • Must have a current and valid driver’s license and must be able to be insured by company fleet insurance.
  • Must be able to perform all job expectations safely with or without reasonable accommodations
  • Ability to lift 30-50 pounds

Hours & Schedule

  • 40-45 hours per week (7:30am-5pm, M-F)
  • After hours and weekends may be necessary on occasion for trips, events, or to meet deadlines
  • Lunch meetings are occasionally required
  • Travel may be required
  • 5 hours maximum for overtime per week
