    Role Overview

    As an Event Specialist at The Willows, you’ll be the primary connection for clients from their first inquiry through event day. You’ll build relationships, help clients bring their vision to life, drive event bookings, and create an exceptional experience through genuine hospitality, thoughtful communication, and attention to detail.

    What You’ll Do

    • Build relationships with prospective clients by responding to inquiries, conducting venue tours, providing exceptional service, and helping turn interest into booked events.
    • Guide clients through the event planning process, including planning meetings, event details, vendor coordination, and ongoing communication.
    • Prepare contracts, process payments, maintain accurate CRM records, and ensure important event information is communicated clearly to the operations team.
    • Create confidence leading up to event day by serving as the client’s primary venue contact and helping anticipate needs before they become concerns.
    • Welcome clients and vendors on event day, oversee key event milestones, and help create a seamless transition to the banquet operations team.
    • Represent and promote The Willows through social media, community engagement, networking opportunities, and relationships with industry partners.

    Required Qualifications

    • Customer service experience.

    Preferred Qualifications

    • Previous event experience.

    Hours & Schedule

    • Full-time, averaging 40 hours per week.
    • Typical schedule is Tuesday–Saturday, 9:00 AM–6:00 PM.
    • This role supports events, so flexibility may be needed based on event schedules and business needs.

    Work Environment & Physical Requirements

    • Work in both indoor and outdoor environments.
    • Vision for near, mid-range, and far distances, as well as hearing for low, medium, and high pitch.
    • Requires the physical ability to stand, sit, crouch, kneel, walk frequently, and reach above the head and below the waist.
    • Frequent walking on uneven surfaces, including dirt, concrete, and rock.
    • Ability to navigate potentially hazardous conditions, including moving vehicles, construction equipment, overhead construction, and various construction materials.
    • Ability to lift 5–20 pounds without assistance.
    • Must be able to safely perform all job expectations with or without reasonable accommodations.
    • Must have a current and valid driver’s license and be eligible for coverage under company fleet insurance.
    • Ability to safely operate a company vehicle.
